How individual record deletion and permanent account deletion work.

1. What this policy covers
AuDHD Companion is operated by AuDHD Companion, ABN 94 677 883 739. This policy explains how deletion works for the AuDHD Companion website at audhdcompanion.com, any domains that redirect to it, the installed web app and your account. It should be read with our Privacy Policy, Terms of Use and Wellbeing Disclaimer.
Removing the app icon from your home screen, uninstalling the web app, clearing browser data or cancelling a paid subscription does not delete your AuDHD Companion account or cloud records. Use the account-deletion process described below when you want the account and linked app data removed.
2. You can delete individual records
You do not need to delete your whole account to reduce what you have stored. Where a feature includes an edit or delete control, you can remove individual entries such as journal records, toolkit items, medication records or other saved information. You can also stop using a feature or leave optional fields blank.
Deleting an individual record removes it from the active app database. It does not remove a copy that you already downloaded, printed or shared with another person.
3. Export anything you want to keep first
Account deletion is intended to be permanent. Before deleting, use the available CSV and PDF export tools in Profile if you want a personal copy of your records. Please open and check your exports before continuing. We cannot recover private app records after a successful deletion.
4. How to delete your account in the app
- Sign in to AuDHD Companion.
- Open Profile & settings.
- Scroll to Account deletion and select Delete my account.
- Enter your current password and type DELETE.
- Review the warning and confirm permanent deletion.
Firebase treats account deletion as a security-sensitive action, so you may need to have signed in recently or sign in again before the request can finish.
5. When self-service deletion is not available
If you cannot sign in, your sign-in method does not support the password confirmation shown in the app, or a technical error prevents deletion, email hello@audhdcompanion.com with the subject “Account deletion request”. Do not send journal, medication or other sensitive content by email.
We will need to verify that you control the account before deleting it. We may ask you to reply from the account email address or complete another proportionate verification step. We will not ask you to email your password.
6. What a successful account deletion removes
The deletion process is designed to remove the personal app information linked to your account, including:
- your Firebase Authentication login;
- profile, onboarding and tracking preferences;
- daily check-ins, custom metrics and spoon activities;
- journal entries, toolkit items and toolkit-use records;
- weekly reviews and reflections;
- medication, vitamin, dose-history and adherence records;
- pattern observations and dismissed insights;
- support requests stored in the app database;
- consent records and export logs linked to the account; and
- the active subscription record stored inside AuDHD Companion.
Once the process succeeds, you are signed out and the deleted login cannot be used to access those records again.
7. Subscriptions and payments
If an active Stripe subscription is linked to the account, AuDHD Companion attempts to cancel it immediately before deleting the login and private records. This is different from cancelling through the billing portal, which normally leaves the account and app records in place until you choose to delete them.
Account deletion does not automatically create a refund. This does not limit any refund, remedy or consumer guarantee you may have under Australian Consumer Law. Stripe may retain payment, receipt, fraud-prevention and compliance records under its own legal and regulatory obligations. AuDHD Companion does not store your full card number or card security code.
8. Founding Member places
If you claimed a limited Founding Member place, deleting the account does not return that place to the public allocation. We may retain a non-identifying aggregate count showing that a place was used so the advertised limit remains accurate. The user-linked founding claim and active subscription record are removed as part of deletion.
9. Information that may remain
Deletion removes the active account and private app records, but it does not always mean every technical trace is erased at the same moment. We may retain only what is reasonably necessary, including:
- limited billing, tax, accounting, refund, dispute and fraud-prevention records;
- a restricted technical deletion marker linked to the former account identifier, used to prevent cancelled payment records from being recreated and to confirm that deletion was processed;
- security, error and access logs for a limited period where needed to investigate misuse, protect the service or meet legal obligations;
- Firebase Hosting web-request logs, which are separate technical records and are ordinarily deleted after 30 days under the current default Cloud Logging retention rather than immediately as part of account deletion;
- support correspondence that was sent or received outside the app database, where it is still needed to resolve the request or meet legal obligations;
- de-identified or aggregate statistics that no longer identify you, including combined installed-app event totals that are not linked to an account; and
- information a service provider is required or permitted to retain under law or its legitimate compliance obligations.
These retained records are not used to restore your journal, check-ins, medication records or other deleted wellbeing content.
10. Backups, caches and service-provider systems
Active app records are removed through the deletion process. Copies in encrypted backups, cached systems or provider logs may take additional time to cycle out under normal retention and disaster-recovery processes. They are not kept in active use simply because you deleted your account and are protected from ordinary access while they remain. Technical web-request logs do not contain a restorable copy of your private wellbeing database.
Essential web-app files and a small local installation-count flag stored on your own device may remain until you clear browser data or uninstall the installed web app. Those files and flags are not a restored copy of your deleted cloud account. Aggregate installation totals are not linked to an account and cannot be selectively removed as part of account deletion.
11. Copies outside AuDHD Companion
We cannot delete information that is no longer under our control. This includes CSV or PDF files you downloaded, printed reports, screenshots, emails you sent, or copies held by a professional, family member, employer or other person you chose to share with. Contact the recipient directly if you want them to consider deleting their copy.
12. When we may not delete everything requested
Australian privacy law requires reasonable steps to destroy or de-identify personal information when it is no longer needed for a permitted purpose, unless an Australian law or court or tribunal order requires it to be retained. A deletion request may therefore be limited where particular information is still reasonably needed for legal, payment, security, fraud-prevention, dispute or record-keeping purposes.
If we cannot complete a manual request in full, we will explain the reason where we can lawfully do so and tell you about available complaint options. We will not keep private wellbeing content merely to make it harder for you to leave.
13. If deletion does not complete
Account deletion involves several secure steps, including reauthentication, subscription cancellation, database deletion and removal of the Firebase login. If a technical error interrupts the process, the app should show an error rather than pretend deletion succeeded. Retry after signing in again or contact us so we can investigate.
Do not assume the account has been deleted until you see the confirmation and are signed out, or we confirm a manual request has been completed.
14. No guilt, pressure or unnecessary barriers
We will explain the consequences clearly and ask for secure confirmation because deletion is permanent. We will not use guilt-based messages, hidden steps or unnecessary delay to pressure you into keeping an account you no longer want.
15. Questions, requests and complaints
Email hello@audhdcompanion.com with any question or deletion request. For a privacy complaint, use the subject “Privacy complaint” and tell us what happened and the outcome you are seeking.
If you are not satisfied with our response to a privacy complaint, you may contact the Office of the Australian Information Commissioner through its privacy complaint process at oaic.gov.au/privacy/privacy-complaints.
16. Changes to this policy
We may update this policy when the app, deletion process, service providers or legal requirements change. The current version and update date will remain available in the app. Material changes may also be brought to your attention through the service.
